1. Who these terms are for
DenHQ is a management tool for Scout groups and similar youth clubs. By creating an account or using the app you agree to these terms. Accounts are for adults aged 18 or over acting as club volunteers, staff or guardians.
2. Your club's responsibilities
The club that operates a DenHQ account is responsible for the personal data it enters about its members, guardians and volunteers — including having a lawful basis for holding health and safety information about young people, and for taking and storing photographs. Clubs must keep access limited to the people who genuinely need it and remove people who leave.
3. Acceptable use
- Do not share your sign-in details or let another person use your account.
- Do not upload unlawful, abusive or harmful content, or any image of a young person without the consent required by your Scouting association.
- Do not attempt to access data belonging to another club or another user.
- Do not use the app to send unsolicited marketing.
- Do not probe, scan or interfere with the service or its infrastructure.
We may suspend an account that breaches these rules.
4. Recording meetings
The meeting recording and transcription feature is for adult scouters' meetings. Everyone present must be told before recording starts. Do not record young people.
5. AI features
Some features use AI to draft programmes, activity plans and meeting minutes. Output is a suggestion, not advice. A qualified adult must review any safety, route or risk content before it is relied upon for a real activity.
6. Payments
DenHQ does not process payments. Trip fees are arranged directly between the club and the guardian by bank transfer, and the app only records whether a payment has been marked as made. Disputes about a payment are between the club and the guardian.
7. Availability and no warranty
DenHQ is provided "as is". We work to keep it available and backed up, but we do not guarantee uninterrupted service. Keep your own records of anything you are legally required to retain.
8. Limitation of liability
To the extent permitted by law, we are not liable for indirect or consequential loss, or for any loss arising from a club's own use of the app, including decisions made about supervision, safety or attendance.
9. Ending your use
You can stop using DenHQ at any time and ask for your account to be deleted. See the Privacy Policy for how deletion works.
