Delete your DenHQ account and data

How to request deletion

DenHQ is the app published by DenHQ (denhq.mikai.ai) for Scout groups and clubs. To have your account and the personal data associated with it deleted, do one of the following:

1. In the app — open Settings, and ask your club administrator to remove your account from the club, or
2. By email — send a message from the email address on your account to privacy@denhq.mikai.ai with the subject "Delete my DenHQ account".

We confirm the request from the address on file and complete the deletion within 30 days. You do not need to be signed in to send the email request.

What is deleted

• Your account and sign-in credentials.
• Your profile — name, email address, roles, section and club membership.
• Your device push notification tokens and session records.
• Messages you sent, and photos, videos and files you uploaded, unless your club needs an item as an event record (see below).
• Any block list or moderation reports you created.

What is kept, and for how long

• Attendance and safeguarding records — retained by your club for as long as its Scouting association requires (typically up to 7 years, or until a young person reaches adulthood). These are held by the club as data controller.
• Youth member records entered by a club — including name, date of birth, allergies and guardian contacts. These belong to the club record, not to your account; ask your club to delete them, or contact us and we will route the request.
• Backups — deleted data may persist in encrypted database backups for up to 30 further days before being overwritten.
• Accounting or legal records — retained only where law requires it.

Deleting some data without deleting your account

You can delete individual items yourself in the app — messages you sent, photos and videos you uploaded, and meeting recordings — without closing your account. You can also email privacy@denhq.mikai.ai to request the erasure of specific data.
